Asana Tour serves international travelers, couples, honeymooners, families, and discerning guests seeking a professionally managed Bali experience. The following terms explain how bookings, payments, cancellations, itinerary updates, and travel responsibilities are handled so you can move forward with full visibility at every stage of the journey.

Reservations

1. Booking Confirmation

  • A booking is confirmed only after Asana Tour receives the required deposit or full payment, as applicable to the travel dates.
  • All reservations remain subject to final supplier availability until written confirmation is issued by Asana Tour.
  • Asana Tour reserves the right to decline or cancel a booking in exceptional circumstances, including operational, supplier, safety, compliance, or availability-related issues.

2. Payment Terms

  • A non-refundable deposit of 30% of the total booking value is required to secure reservations.
  • The remaining balance must be paid no later than 14 days before arrival in Bali.
  • Bookings made within 14 days of arrival require full payment at the time of confirmation.
  • Failure to complete payment by the applicable due date may result in cancellation of the booking and release of the reserved services.

3. Accepted Payment Methods

  • Accepted payment methods include Credit Card and PayPal.
  • Supported currencies are USD and IDR.
  • Guests are responsible for any currency conversion fees, payment gateway charges, bank charges, and international transaction fees applied by their payment providers.

Refund timing and exclusions

4. Cancellation & Refund Policy

  • More than 30 days before arrival: refund of payments made excluding the non-refundable deposit.
  • 15–30 days before arrival: 50% refund of the total tour cost.
  • 8–14 days before arrival: 25% refund of the total tour cost.
  • 7 days or less before arrival: no refund.
  • No refunds apply to no-shows, missed activities, unused services, or voluntary early departure after the travel program has started.

Flexibility after confirmation

5. Itinerary Changes

  • Changes requested after confirmation are subject to availability from the relevant hotels, transport providers, and activity operators.
  • Additional charges, rate differences, or administrative fees may apply to requested modifications.
  • Asana Tour will make reasonable efforts to accommodate changes whenever practical and possible.

Service standards

6. Accommodation, Transportation & Activities

  • All accommodations, transportation arrangements, and activities are subject to availability at the time of confirmation.
  • If a confirmed service becomes unavailable, Asana Tour may provide a comparable alternative.
  • Any substitution will, whenever reasonably possible, maintain a similar quality level, location standard, or experience category.

Traveler responsibility

7. Flights, Visas & Travel Documents

  • Unless explicitly stated in writing, flights, visas, passport fees, travel permits, and similar government or carrier charges are not included in Asana Tour quotations or packages.
  • Travelers are solely responsible for ensuring they hold valid passports, visas, entry approvals, and any other required travel documents for Indonesia and any transit destinations.

8. Travel Insurance

  • Asana Tour strongly recommends that all travelers obtain comprehensive travel insurance before departure.
  • Insurance should include coverage for trip cancellation, medical emergencies, baggage loss, travel delays, personal liability, and other risks relevant to international travel.

Trusted partner network

9. Third-Party Suppliers

  • Certain services may be delivered by hotels, transportation providers, activity operators, photographers, guides, and other independent suppliers.
  • Asana Tour carefully selects its partners and works with trusted providers whenever possible.
  • However, Asana Tour cannot be held responsible for supplier-related disruptions, failures, or changes that are beyond its reasonable control.

Scope of responsibility

10. Limitation of Liability

  • To the maximum extent permitted by applicable law, Asana Tour's liability is limited to the value of the affected services purchased through Asana Tour.
  • Asana Tour is not responsible for indirect, consequential, incidental, special, or punitive losses, including loss of enjoyment, lost opportunities, or additional out-of-pocket costs not directly tied to the affected booked service.

Events beyond reasonable control

11. Force Majeure

  • Asana Tour shall not be liable for delays, changes, or inability to perform services caused by events beyond reasonable control.
  • Examples include natural disasters, extreme weather, volcanic activity, government restrictions, public health emergencies, transportation disruptions, civil unrest, strikes, and other extraordinary events outside reasonable operational control.
  • In such cases, Asana Tour will make reasonable efforts to assist with rescheduling, alternatives, or supplier coordination, but refunds remain subject to recoveries and policies from the relevant providers.

Respectful and timely travel

12. Guest Responsibilities

  • Guests must follow local laws and regulations at all times during their stay and activities.
  • Guests are expected to respect Balinese culture, local customs, religious practices, accommodations, staff, suppliers, and property.
  • Guests must arrive on time for scheduled services, pickups, transfers, and activities.
  • Guests accept responsibility for any damage, loss, penalties, or extra costs caused by their own actions, negligence, or misconduct.

Responsible handling of personal data

13. Privacy & Data Protection

  • Customer information is collected only for booking, coordination, payment processing, guest support, and other necessary operational purposes.
  • Asana Tour does not sell personal information to third parties.
  • Personal information may be shared with selected suppliers only when necessary to deliver the booked services, such as hotel reservations, transportation scheduling, and activity arrangements.
